Data Extraction and Mapping
Your Sevocity implementation specialist guides your practice through extracting your previous records (or your exported data file) in a structured format. Sevocity maps your source data to the Sevocity data model. Your specialist assesses your source system’s export capabilities early so there are no surprises before go-live.

Verification and Sign-Off
After migration runs your sample data, you receive a verification report showing transferred record formats and data completeness. Your team checks patient records against your source system. The full transfer and go-live are scheduled when you have confirmed the data is accurate and complete.

Go-Live and Continued Access
On go-live day, your practice opens with your patient data already in Sevocity, your templates configured for your specialty, and your staff trained. Your old system often remains accessible in read-only mode for a transition period so historical records can be referenced.

What migrates from your current EHR
Migration takes work and no EHR works harder for your data than Sevocity. What transfers depends on what your source system can export and the data format available. Sevocity’s implementation team assesses your source data early in the process and tells you exactly what will and won’t migrate before you commit to a go-live date.

Migration Questions
What practices ask before committing to a switch
Yes. Data migration is included as part of your Sevocity implementation. There is no additional charge for the migration itself, and no third-party migration vendor is involved. The scope of what migrates depends on your source system’s export capabilities, which Sevocity assesses during the pre-implementation discovery process. If your source system requires a paid data export from the vendor’s side, that cost would fall to the vendor, but Sevocity’s side of the migration work is covered. Practices consistently rate Sevocity’s migration process among the strongest aspects of the implementation experience.
Migration timelines vary by practice size and source system. A solo or small group practice typically completes migration in four to eight weeks from the start of implementation to go-live. Larger practices with more complex data or a system that requires manual export steps may take eight to twelve weeks. Sevocity provides a specific timeline after the initial data assessment and before you commit to a go-live date.
Sevocity has migrated data from most major EHR systems used in independent practices, including Greenway, Practice Fusion, AdvancedMD, Allscripts, eClinicalWorks, Athenahealth, Kareo, and others. The key factor is whether your current vendor provides a structured data export (most certified EHRs are required to do so under ONC regulations). Sevocity’s implementation team will assess your specific system during the discovery call.
Scanned documents and image attachments are handled differently from structured clinical data. Whether they transfer depends on your source system’s export format and the volume of attachments involved. In many cases, scanned records can be imported into Sevocity’s document management system, but the method varies. Sevocity’s team will assess attachment migration during the pre-implementation discovery and give you a realistic picture of what’s transferable before go-live.
Yes. Your old system remains accessible (typically in read-only mode, per your existing contract terms) for a transition period after go-live. Most practices keep the old system accessible for 30 to 90 days while providers confirm historical records are available in Sevocity. Your old EHR vendor controls the terms of read-only access after contract termination, so confirm this with them directly.
Sevocity’s verification process exists to catch this before go-live. We work with you to test sample data. You receive a verification report and your team spot-checks records. If discrepancies are found, they’re corrected before the go-live date is scheduled. The practice doesn’t switch over until the data is verified. If a small number of records require manual attention after go-live, Sevocity’s support team works with you to resolve them.
No. Sevocity’s implementation team manages the migration directly. You don’t need to hire an outside consultant or migration vendor. If your practice has a particularly complex data environment (multiple locations, unusual source systems, or very high patient volume), Sevocity’s team will tell you upfront if additional resources are recommended. For the vast majority of independent practices, the Sevocity implementation team handles the full migration.
Prescription medications are handled via a SureScripts import after go-live rather than a direct transfer from your previous EHR. Your staff completes this import using the medication network, which covers the vast majority of active prescriptions. The rare exception is a medication that doesn’t exist in the SureScripts formulary. Your Sevocity specialist will walk your staff through the SureScripts import process as part of go-live training.
Templates from another EHR can’t be pulled directly because every EHR stores template logic in its own proprietary format. However, if you provide your existing templates to Sevocity’s implementation team, we will build them in Sevocity before your go-live date. This is included as part of your implementation. Most practices find the process straightforward: export or print your current templates, share them with your specialist, and they’ll be ready in Sevocity when you go live.
